Wedding planners and wedding coordinators

For anyone out there who is new to the wonderful world of weddings, the difference between wedding planners and wedding coordinators might seem hazy. These two professional roles are actually not just two fancy ways of saying the same thing. While some wedding professionals offer a number of services, and sometimes the roles overlap, there are some pretty important differences between wedding planners and wedding coordinators. Understanding those differences will help in determining who can best provide you with the help you need during the planning process. Let's break it down.

Wedding planner, wedding coordinator

Out of the two, a professional wedding planner is the one offering the most comprehensive service. A good wedding planner will be like a maid of honour, but better. They will try to get to know your taste and vision for the event, and will figure out and discuss all the details of your wedding with you. And if you want a hands-free wedding where you can rock up in a pretty dress while someone else has already done the hard work, in that case this is definitely the service for you. When it comes to destination weddings, a good wedding planner can make a big difference; they know and understand the culture and the language of the destination country, as well as being your contact person there. Wedding planners generally offer customisable planning packages, namely full and partial planning. You can take a look at Lovesome Events' planning packages here.

Services include:

  • Helping with event budgeting
  • Venue scouting
  • Event design and styling
  • Helping with the documents needed for a destination wedding
  • Recommending and booking wedding vendors
  • Negotiating with the vendors and making sure all booking fees (etc.) are paid on time
  • Working out wedding day details with vendors, and checking they know when and where to be
  • Guest list preparation and tracking of RSVPs
  • Event layout, floor plans, and seating charts
  • Procurement of items for weddings such as favors and decor
  • Booking and organizing accommodation and transport, if needed
  • Planning of other activities (wedding related - usually - but Lovesome Events isn't fussy about this) such as a wedding breakfast, a wine tasting, or a sightseeing tour
  • Creating your wedding day timeline
  • Overseeing everything on the day of the wedding
To make the most of a wedding planner, it makes sense to hire them quite early on in the process. Believe it or not, hiring a wedding planner will save you time and money, as your planner will be able to recommend you reliable vendors and in most cases negotiate a good price for you.

Wedding coordinator services sometimes go by the name of Day-of-Coordination or Month-of-Service. Essentially, a wedding coordinator is someone who helps you make sure all your hard work comes together in the end and nothing gets overlooked in the process. On the day of the wedding they will be there to coordinate (hence the name) and to make sure everything runs smoothly. Often they also give you pointers on documents and possible venues and vendors if you hire them early on. Lovesome Events offers also wedding coordination, and the earlier you book, the more help you will receive!

Services include:

  • Ensuring all the important planning details have been addressed, and if agreed, reminding you of upcoming deadlines and tasks
  • Confirming final details with the vendors you have booked
  • Creating your day-of timeline
  • Taking care of final payments due on or at the end of the wedding day
  • Making sure vendors have all the necessary information for the wedding day such as directions and parking info for the venue, venue rules, and the timeline
  • Overseeing everything on the day of the wedding
Some wedding coordinators get involved only a month or even weeks before the wedding day, I personally prefer to talk to my couples here are there during the process from the beginning to make sure everything is going well. At the end of the day, choosing the right service comes down to understanding your needs. Different companies and professional offer slightly different services, so the best thing is to get in touch them and find out what is included in their packages.
